Time and Expense

The Time and Expense report shows time and expense entries, allowing staff to review and make corrections prior to the time being released or posted. This report will also show posted time and expense transactions.

Reports in Foundation that are Comparable

In Practice Management, the comparable reports are Daily Timesheet, Time Entry Edit List, Reimbursable Expense, Expense Report, and Employee.

Reimbursable Expense. In Practice Advantage, the comparable reports are Time and Expense Edit, Daily Time, and Expense.

Report Specifications

The following report options and filters are available to determine the report contents.

Yes/No

Includes or excludes details of each transaction. If hidden, select to subtotal your groups to view the amounts for each selected grouping.

Show Invoice Description

Yes/No

Includes or excludes the description for each time transaction.

Show Internal Note

Yes/No

Includes or excludes the internal note for each time transaction.

Show Surcharge

Yes/No

Includes or excludes the surcharge that applies to each time transaction.

Show Transaction Count

Yes/No

Includes or excludes the number of transactions in the report. The transaction count displays beneath the totals.

Show Time Entry Custom Code and Description

Yes/No

Includes or excludes the custom fields that are set up in Practice Lists > Custom Fields-Time Entry.

Show Project Information

Yes/No

Includes or excludes the project ID and name for each time transaction.

Show Workstep Information

Yes/No

Includes or excludes the workstep ID and name for each time transaction.

Include Deleted Staff

Yes/No

Includes or excludes deleted staff information.

Report Fields

The following fields are available for this report. The fields that display and the position of fields are based on the report's settings, grouping, sorting, and filters.

Report Fields
Field Description

Staff

The staff associated with the transaction. The format is Staff Last Name, Staff First Name Staff ID.

Date

The transaction date for the transaction.

Billable Type The billable type for the transaction, which can be 1 = Billable, 2 = Non-billable, or 3 = Use client's billable type.

Transaction Type

The type of transaction, which can be Time or Expense.

Client

The client associated with the transaction. The format is Client Sort Name (Client ID.Client Sub ID).

Project

The project associated with the transaction. The format is Project Name (Project ID).

Workstep

The workstep associated with the transaction. The format is Workstep Name (Workstep ID).

Service Code

The service code name entered for the transaction.

Transaction Status

The status of the transaction, which can be Unreleased, Released, Reviewed, or Posted.

Hours

The hours entered for the transaction.

Units

The units entered for the transaction. This column is used when the service code is marked as an expense service code and the Mileage/Unit box is selected.

Rate

The rate associated with the transaction.

Amount

The amount for the transaction. If it is a time transaction, this is the hours multiplied by the rate. If it is an expense transaction, this is either the amount entered or the units times the rate for a mileage/unit expense.

Surcharge

The surcharge amount associated with the transaction. This is populated based on the surcharge that is indicated for the service code.

Invoice Description

The invoice description that was entered when the transaction was added in Time Capture.

Internal Note

The internal note that was entered when the transaction was added in Time Capture.
